School Administrator- Manage Preceptors
Manage Preceptors allows you to create and edit preceptor accounts associated with your school.
To locate this feature, click the Manage Users/Requests tab in the red toolbar and select Manage Preceptors.
Contents:
A. Adding New Preceptors:
1. Begin by clicking the +Add A New Preceptor button on the upper right of the page to add a new preceptor.
Note: There is also a button to Manage Preceptor Training. This takes you to the Preceptor Training page. This is not for controlling a preceptor's trained date.
2. Search for the user's email address by entering it into the search bar labeled "Search Email Address" and clicking Search.
3. 3a goes over if the user exists. 3b goes over if the preceptor is totally new.
3a. If the user exists, their account will pop up. If desired, you can add a License/Reference#, then click either Create and Verify or Create. Create and Verify is verifying this person is an actual preceptor. Create, just add them to the system.
3b. If the user does not yet have an account in our system, you will see the message, User Not Found. Please complete the information below to create a new user for the preceptor role. Fill out the required information, then click either Create and Verify or Create. Create and Verify is verifying this person is an actual preceptor. Create will add them to the system.
Required Info:
- First and Last Name: User's name. This is the name the students will search for when adding the preceptor to their documentation.
- Enter Password: This can be changed by the new user when they login to their account for the first time.
- Primary Site and Location: This is only a defaulted primary location. They can still be added to shifts that are associated with other sites or locations.
B. Preceptor Data Table
On the Manage Preceptors page, you will see the preceptors associated with your school. This page defaults to the Active tab.
Preceptor Search: You can search for preceptors by entering their first name, last name, or email address and clicking Search.
Configure Grid Options: (Sun-shaped button next to Search) This button allows you to control the columns in the grid below.
- Info: To learn more about how to use this button, click here.
Export: (Raincloud button next to Search) Click to select the document type you would like to export the grid below into: PDF, XLS, XLSX, RTF, or CSV.
Tabs:
- Active: Active preceptors who are associated with the school.
- Verified: Preceptors that have been confirmed as being actual preceptors.
- Unverified: Preceptors added to the system, but not confirmed as actual preceptors.
- Flagged: Any user that has been flagged from their preceptor role, removing their access to it.
- Disabled: This removes the preceptor's access but can only be done by an admin. If you want to remove access and do not want them to be reinstated at any point by an instructor, disabling will allow that.
-
All: Most preceptors that have been added to the school at any point. (Active, verified, unverified, and flagged)
- Note: Disabled or deleted preceptors will not appear on the All tab. This prevents duplicate preceptor accounts that have been removed from showing.
Actions:
Login As: This allows you to assume the preceptor's identity.
Edit: Allows you to view the preceptor's profile, change the settings, and view their Audits.
Flag: This removes the preceptor's access to their preceptor role and removes it from your proctor lists for students to select.
Verify: This makes the preceptor verified. Preceptors associated with documentation must be verified so that instructors can approve the documentation.
Un-verify: This makes the preceptor unverified. If a student selects this preceptor, the instructor must verify the account before approving the associated documentation.
Disable: This disables the preceptor's account.
Unflag: This replaces the user's access to their preceptor role for flagged users.
Enable: This replaces the user's access to their preceptor role for disabled users.
