School Administrator- Manage Calendar Emails

Manage Calendar Emails allows you to create schedules for emails to be sent to outside users with a clinical site's location and scheduled opportunities. The calendar will show which students are scheduled to attend and when. If there are no scheduled opportunities, the schedule will still be sent, but the calendar will be blank.

To locate this feature, click the Cohorts/Classes/Sites tab in the red toolbar and select Manage Calendar Emails.

A. Adding a Calendar Email Schedule

1. Begin by clicking the +Add New Schedule button on the upper right.

  • Calendar Source: Select the type of site for which you would like to create the schedule.
  • Clinical Site/Shared Site: Select the name of the site that you want to send the schedule for.  
  • Location: Choose a specific location if you don't want to include all locations (all or one). 
  • Occurrence: The frequency at which you want the emails to go out. (Daily, Weekly, Biweekly, or Monthly)
  • Start Date: When the emails should begin being sent out. 
  • Message (optional): A message that will be sent with the schedule. 

3. Add the emails to which you would like to send the schedule. Enter the Email and Name, then click Add. Repeat this step until all the recipients have been added.

4. Submit when finished.

B.  Manage Calendar Emails Data Table

On the Manage Calendar Emails page, you will see the schedules that have been previously set up to be sent to outside users. This page defaults to the Active tab.

Email Schedule Search: You can search for schedules by entering the site name,  location, or recipient and clicking Search

Configure Grid Options: (Sun-shaped button next to Search) This button allows you to control the columns in the grid below. 

  • Info: To learn more about how to use this button, click here. 

Export: (Raincloud button next to Search) Click to select the document type you would like to export the grid below into: PDF, XLS, XLSX, RTF, or CSV. 

 

Tabs: 

  • Active: Active schedules that are being sent out regularly. 
  • Flagged: Any schedule that has been flagged from being sent out. 
  • All: All schedules, both active and flagged. 

Actions: 

Edit: Allows you to view the schedule, change the settings, or add more recipients. 

Send: This sends out the calendar schedule immediately.

  • Select the Month/Year that needs to be sent and click Send

Flag: This cancels the email schedule from being sent out moving forward.
