Instructor- Manage Student Lab Documentation

Manage Student Lab Documentation allows you to view and edit student lab documentation.  

 

Note: The options and displays mentioned in this article may vary for users based on their profession, class associations, and permissions assigned to their instructor role within Platinum Planner.

To locate this feature, click the Labs tab in the red toolbar and select Manage Student Documentation.

A. Reviewing Lab Documentation: 

1. Start by clicking the Manage Lab Documentation option. Then, choose the Ready to Review tab. 

Note: Reviewing documentation is completed through the Manage Student Lab Documentation data table. A full breakdown of the data table and its functions is in section C.

2. Locate the documentation you want to review, then click View.

3. Review the lab. Click each section to review it. 

  • Lab Information: This section contains all the essential information about the lab. 
  • Skill Summary: This section displays the documented skills, their quantity, and whether they were successful or not. 
  • Skill Detail: This section displays the documented skills and their assessments. 
  • Student Form Results: This section shows any forms added to this lab that are linked directly to the lab itself and not associated with a skill. 
  • Documents: This section displays any documents that have been added to the documentation. 
  • History: This section shows an audit of the lab. It will display when and who is involved as the lab progresses through the stages of documentation. 

 

4.  Make a determination of the documentation. Select the button that corresponds to the desired action. 

  • Print: This enables you to print the lab review. 
  • Approve: This will approve the documentation, and the skills will appear as complete on the student's progress report. 
  • Complete: If the instructor has forms to fill out, this will display instead of Approve. The form(s) can be filled out, and the documentation can be approved from that page. 
  • Return: Returns documentation to the student, allowing for further modifications.
  • Reject: Rejects documentation. Student will NOT be given credit for the skills performed or be given an opportunity to correct the documentation.

 

 

B. Editing Lab Documentation (documenting the lab for the student): 

Editing a lab allows you to modify lab documentation or record the lab for the student. You can document part of it and then exit, or if the lab is finished, you can approve it without further review. 

 

Note:  Editing documentation is completed through the Manage Student Lab Documentation data table. A full breakdown of the data table and its functions is in section C.

 

1. Begin by clicking the Manage Lab Documentation page. Select the Documenting tab.

2. Locate the documentation you want to edit, then click Edit under the Actions column.  

 

If you do not see the documentation you are looking for, try clicking the Include labs with no documentation box above the Documentation tab. If the student has not begun the lab from their end, the lab will not have any documentation and won't appear unless this box is checked.12:10 1-edit.png

 

3. Document or edit the lab as needed.

  • Edit Details: Click the blue Edit Details button to update any of the information displayed at the top of the lab.
  • Skills Performed: This tab lets you add skills the student has performed. Once added, you can record skill attempts and complete any forms related to the skill.  
    • Note: No credit will be given for a skill unless you add a skill attempt for it. 
  • Lab Forms: This tab lets you fill out or adjust any forms attached to the lab event. 

    • Note: This tab only appears if a form has been enabled for the lab. 

  • Lab Documents: This tab lets you download any documents added to the lab or upload new ones. 

 

 

4. Submit Lab: This tab lets you either submit the documentation for review to the instructor or approve it and skip the review process. 

  • Submit Documentation: Submits the documentation for the instructor's review. The documentation will be moved to the Ready for Review tab in Manage Lab Documentation.  
  • Submit and Review: This allows you to review the lab before approving, returning, or rejecting it. 
  • Submit and Approve: This approves the lab documentation.  
  • Submit and Complete: This option appears when instructor forms are enabled for the lab documentation. Selecting this option will take you to a review page where the documentation can be reviewed, and the instructor forms can be filled out in the Forms tab. 

 

 

 

C. Manage Lab Documentation Data Table

On the Manage Lab Documentation page, you will see the lab documentation associated with any lab class you are added to as an instructor. This page defaults to the Ready For Review tab.  

Cohort/Class: Click the dropdown to filter the documentation by class and cohort. 

Include Inactive: This checkbox includes documentation linked to classes or cohorts that have reached their end date. 

Lab Documentation Search: You can search for documentation by entering the student's first name, last name, or the name of the lab and clicking Search

Configure Grid Options: (Sun-shaped button next to Search) This button allows you to control the columns in the grid below. 

  • Info: To learn more about how to use this button, click here. 

Export: (Raincloud button next to Search) Click to select the document type you would like to export the grid below into: PDF, XLS, XLSX, RTF, or CSV. 

 

Tabs: 

  • Documenting: This is documentation that has not been submitted for review and could be in varying stages of completion, including upcoming labs. 
  • Past Due: This refers to documentation that has not been submitted for review by the deadline specified in the class settings. 
  • Ready to Review: This is documentation that has been submitted for review. 
  • Today: This is all the documentation scheduled for today, and could be at any stage of the documentation process. 
  • Approved: This is documentation that has been approved by an instructor. 
  • Rejected: This documentation has been rejected and will not count toward the student's progress. 
  • All: All stages of documentation from each tab. 

 

Bulk Update: This option allows instructors to make specific changes to documentation for multiple labs at the same time. This feature is only available for certain tabs and will appear if the setting is enabled in the class settings.

Actions: 

Edit: This enables you to modify the student's documentation or complete it for them.  

View: This feature allows you to view the documentation and its related details. The tab the instructor is in when 'View' is chosen will determine what actions can be performed from that screen.
