(Instructor) Creating Opportunities

When creating opportunities, there are 2 options: creating a single opportunity or a batch of opportunities. A single opportunity in an individual clinical experience is being added for students to sign up for or can be assigned to the student(s). A batch is a set of opportunities that can run for up to 3 years with 3 different options of schedule type.

Note: Both options begin by logging into Platinum Planner and selecting the Instructor role. 

 

A.  Creating a Single Opportunity

1. Select the Opportunities tab and click Manage Opportunities

2. Click the carrot on the +Add Opportunities button on the top right and select Single Opportunity.

3. Fill out the details for the opportunity.  

  • Title: the name of the opportunity.
  • Description: Optional. Any additional details you would like to add to the opportunity for the students.  
  • Site/Location: Where the opportunity will take place. 
  • Start Date/Time: When the opportunity is scheduled to begin. 
  • End Date/Time: When the opportunity is scheduled to end. 
  • Apply Hours to(Category): The hours category that the clinical hours will apply toward for the student's progress. 
  • Default Preceptor: Optional. This will automatically add a particular preceptor to the student's documentation. The student can change it if the preceptor is unavailable during the clinical experience. 
  • Classes: The class(es) that you would like to be able to sign up for this opportunity or the class that the student is in that is being manually assigned.

4. Settings:

  • Allow students to sign up for this opportunity?:
    • No: When selected, it will not be available for students to select; an instructor will have to manually assign it. 
    • Yes: When selected, more options will appear. 
      • Sign Up By Start Date: when students can begin signing up for the opportunity.  
      • Sign Up by End Date: How many days before the opportunity's end date do students need to sign up?  
      • Max Students: the maximum number of students allowed to attend this opportunity. 
      • Automatically accept student sign up requests?: Selecting yes will automatically add to the opportunity to the student's calendar. You will need an instructor's approval for the student to attend the opportunity.

5. When you are satisfied with the opportunity's details and settings, click the blue Create Opportunity button at the bottom right. This will bring you to the Edit Opportunity page.

6. Additional Settings:

  • Include built in surveys during documentation: Selecting yes will include the student and preceptor surveys automatically in the documentation to be filled out. 
  • All other settings seen: All other settings on this page were previously selected in the previous steps.  Double-check that they are as desired.

7. Assigning students to the opportunity:

  • Click the Students tab. 
  • Click the blue Modify Students button on the right. 9_23_modify_students.png
  • Click the checkbox next to the student(s) being assigned to the opportunity and click Save Changes. 9_23_add_remove_student.png

8. Documents Tab: Optional. Select or upload any documents you would like to be included in the student's documentation.

9. Forms Tab: Optional. Checkbox who fills out the documentation for the form you would like included in the documentation. 

10. Click the blue Save button when finished. 

 

 

 

B.  Creating a Batch of Opportunities.

1. Select the Opportunities tab and click Manage Opportunities

2. Click the carrot on the +Add Opportunities button on the top right and select Batch Opportunities.

3. Tile and Description: 

  • Title: The name of the opportunity.
  • Description: Optional. Any additional details you would like to add to the opportunity for the students.  

4. Settings Tab: 

  Fill out the details for the opportunity.  

  • Profession Category Filter: what profession is allowed to sign up for this opportunity batch? 
  • Apply Hours to(Category): This is the category toward which the clinical hours will be applied for the student's progress. 
  • Max Students: the maximum number of students allowed to attend each opportunity. 
  • Default Preceptor: Optional. This will automatically add a particular preceptor to the student's documentation. The student can change it if the preceptor is unavailable during the clinical experience. 
  • Allow students to sign up for this opportunity?:
    • No: When selected, it will not be available for students to select; it will have to be manually assigned by an instructor. 
    • Yes: When selected more options will appear. 
      • Automatically accept student sign up requests?: Selecting yes will automatically add to the opportunity to the students calendar when they select to sign-up for it.  Selecting no will require an instructors approval for the student to attend the opportunity.

5. Opportunities Tab: Click the gold Add Opportunities button.

Enter the settings for the opportunity. 

  • Site/Location: Where the opportunities will take place. 
  • Start Time: When the opportunities are scheduled to begin. 
  • Duration: the time the student will be scheduled to stay at the clinical opportunity. 
  • Sign Up By Start Date: when students can begin signing up for the opportunities.  
  • Sign Up by End Date: How many days before the opportunity's end date do students need to sign up? 9_23_opps_settings.png

Schedule type: There are 3 scheduler options: Calendar, Repeatable, or Fire Schedule.  

  • Calendar: This is more of a "random" schedule. There is no pattern to the opportunities.  You just select the days that the site is available to the students. 9_23_calendar_scheduler_.png
  • Repeatable Schedule: Schedule that repeats on certain days of the week at a particular frequency for an extended period of time. 
    •  Select Days of the Week: Days that the clinical experience occurs
    • From: When the schedule will begin
    • To: When the schedule will end (up to 3 years out). 
    • Frequency: How often the schedule repeats. If the clinical opportunity is available Monday-Thursday, but only on the third week of the month you can pick 'Every Third Week' From the frequency menu.
    • Note: The picture shows a Monday, Wednesday, Friday option that runs for 3 years and is available every week. 9_23_repeatable_scheule.png
  • Fire Schedule: Schedule frequently used by firehouses.  This does not follow a set day of the week, but rather a pattern of X number of days off, then X number of days on. 
    • From: When the schedule will begin
    • To: When the schedule will end. 
    • Pattern: The pattern must be typed in in this format x,-x.  For example, if you want to be 3 Days on and 2 days off you would write it like this 3,-2. 9_23_fire_scheduler.png
  • Add Schedule: Once you have chosen a schedule type and added the settings you will click the blue Add Schedule button. That will bring you back to the main Add New Opportunities page.  From there you will be able to see the listed opportunities.  
    • Clear All Opportunities: This button removed the schedule you just created and start over. 
    • Remove: This allows you to remove particular days from the schedule like holidays.  9_23_listed_opps.png

6. Classes Tab:  Select the class(es) that you would like to be able to sign up for these opportunities.

7. Instructor Tab:  Optional. Select any other instructor you would like to be able to access and edit these opportunities if needed.

8. Documents Tab: Optional. You can select or upload any documents you would like included in the student's documentation.

9. Forms Tab: Optional. Checkbox who fills out the documentation for the form you would like included in the documentation. 

10. Click the blue Create Opportunities button when finished.
