Adding a Visitor to a Shared Site Schedule

If a shared site user would like to block off time in a site schedule for a student who is not a Platinum user, they can add them as visitors. This will mark the shift as taken and prevent anyone from being able to schedule a shift simultaneously. You can also manage visitors and make adjustments to the information provided for them after they have been added.

A.  Adding a Visitor to a Shared Site Schedule:

1. Go into your Share Site User role. This will bring you to the shared site user home.  

2. Under Site Overview, change the date to the day you want to add the visitor. 

3. Click the Schedules tab. 

4. Click Add Visitor to the schedule to block time out. If you need to close the day off altogether, you can click Close Schedules

5. Enter the student's information. School, First, and Last names are required. You can enter the student's email and phone number if you have them. When you enter the email, you can choose whether to notify the student that you have added them to the schedule by clicking the checkbox for Notify.  

6. How long should this opportunity last?: add in the length of the opportunity in hours. 

7. What time would you like this opportunity to begin?: Click the time that the opportunity begins. If you do not see your time, you can click the dropdown to see 15-minute increments beyond that time.

8. Once the time has been selected and you are satisfied with the information entered and have verified the details, click Submit at the bottom.

B. Managing Visitors: 

1. Select the tab Users/Visitors, then click Manage Visitors

2. Locate the visitor you would like to make changes to. If you do not see them right away, they might be on in the Disabled tab.

3. Click View/Edit to make any changes to the visitor you would like. You can Disable or Enable a previously disabled visitor if needed. This is also where you can add or remove the Notify checkbox for email preferences. 

4. When satisfied, click Submit to save the changes.
