(School) Edit Cohort [PlatinumEd]

Class Groups Students | Manage Cohort Requests

Schools can manage cohorts from the my.platinumed dashboard for all our products. Click on the grey and black Manage Cohorts call-out to show the Manage Cohort Listing area.

If you have cohorts already, they will be listed in this area. To create a new cohort, click the green new cohort button on the top right.

Your school will automatically be selected. Choose your profession and program, give your cohort a name, and enter start and end dates, and description(optional).

Note: If your school uses AccredAssist, then you will have the Actual Start Date and Actual End Date options as well.  This allows attrition to be correctly calculated and surveys to be sent out on time.  List the "regular" start and end date as any time you would like students to be able to start enrolling and the end date as when you no longer want students to have access.  List the "actual" dates as to when your cohort officially starts and ends. 

Cohort Admins: Any instructors selected here will have full access to edit this cohort and manage enrollment. Only School Administrators can make changes to this list.

Note: An instructor account must be created first before that instructor will show in this drop-down.

Next, you will see 3 check-boxes for options within your cohort:
Enrollment Period Start Date/Enrollment Period End Date: The submission period for enrollment in this cohort begins on the first date and ends on the last date.  The selected range is when students will be allowed to submit requests to join the cohort. 
Allow students to message each other: If you would like students in your school to message each other within our system, check this box.

Allow instructors to manage student class enrollments: If you would like to allow all instructors to manage student class enrollments, check this box.

Click Save to continue. You will see the options you have selected so far, plus a Student Verification is Disabled button.

The Student Verification button is used if your school is using Verify Students for background checks. If you have a Verification Campaign Code for your school, click the student verification button and enter in your campaign code. This will require students in the cohort to go through Verify Students for a background check before entering the cohort.

Click Save to continue. You will see 5 tabs upon saving your new cohort.

Note Before Students Can Enroll: You must complete the setup for either EMSTesting or PlatinumTests. You must create at least one active (or future) class.

EMSTesting/Platinum Tests Cohorts

If you have a school subscription to EMSTesting or PlatinumTests, click on the tab (tab will show either EMSTesting (not enabled) or PlatinumTests (not enabled)) to enable the cohort, then click the large green Enable Testing button.

Once you have enabled the cohort in EMSTesting or PlatinumTests, you will see setup instructions and a drop-down titled How would you like to proceed? You can create a new cohort or clone an existing cohort (if a cohort has been built in your school in the past).

Curriculum: Please select a curriculum from the drop-down. (Applies to EMSTesting only)

Educational Standards: Educational Standards refer to the uniform document released by NHTSA around 2008. This is the curriculum that most EMS textbooks follow. Though it is standard in that it has the same category and topic for each level, it is not very specific, observable, or measurable making it very difficult to truly standardize and use for specific, constructive feedback. Since it is what the textbook uses, we suggest that you create quizzes and tests using this curriculum when you first begin the program. When you finish a large section (Module) we would then suggest you turn on the adaptive testing portion of the website and use the corresponding Educational Standards to help acquaint students with the adaptive process. 
Module, Topic, Objective: When students have less than adequate performances, Adaptive Testing can be designed to focus on the specific MTO where the students are weak. The MTO is the reference to the specific, observable, measurable objectives that were utilized before the release of the Educational Standards. It is also the objectives that the publishers chose to adopt for the most part where they could to build out the textbooks based on the new Educational Standards.
National Registry: As students near the completion of their program (and particularly during the Capstone portion of the Paramedic program) we would suggest you change the Adaptive Testing curriculum to the National Registry. The NR is based on the National Registry Practice Analysis and it is what the current National Registry Examinations should be based on.

After you have selected your options, click the Save button to continue.

In the Settings tab, you can change your curriculum (see descriptions above, if needed) then you will see the Classes tab right next to the Settings tab.

Click the green New Class button.

Give your class a Name, choose Instructor(s), class Begin and End Dates, Curriculum, and any short Class Description/Summary.

Click the Save Button.

Platinum Planner Cohorts

If you have a school subscription to Platinum Planner and are a supported profession, click on the Platinum Planner (not enabled) tab, then click the large green Enable Platinum Planner button.

Once you have enabled the cohort in Platinum Planner, you will see setup instructions and a drop-down titled How would you like to proceed? You can create a new scheduling-only cohort (This option is for schools that do not use Platinum Planner for skills tracking and want limited reporting for hours), create a new cohort w/ skills tracking, or clone an existing cohort.

Clone an Existing Cohort: A drop-down will appear with previous cohorts to clone a new class from. Choose the cohort you want to clone and then select if you want to create the classes from the cohort. Rename the classes for less confusion.

After you have selected your options, click the Save button to continue.

Age Group

The Age Group drop-down will default to Platinum Recommended (2018), and will follow Newborn (1 hr. to 23 hrs.), Neonate (1 day to 28 days), Infant (more than 28 days less than 1 year}, Toddler (1 year to less than 3 years), Preschooler (3 years to less than 6 years), School Aged (6 years to 12 years), Adolescent (more than 12 years, less than 18 years), Adult (18 years to less than 64 years), Geriatric (64 years and greater).

Note: Labs and Clinicals created for students will use the age group you have created/selected here in the cohort setup. Go to  Options > Manage Age Groups within Platinum Planner to set up custom age groups. If you would like help with this option, please call or chat with our Customer Support Team and they will be happy to assist you.

Allow students to create preceptors: This box checked, allows students to create preceptors from their account. This is recommended.

Require email for preceptor creation: This box checked, forces students to provide an email address when creating their preceptors. This is recommended.
Enable skill documents: Checking this box will display a PDF version of the skill form where available.
Utilize Manage Student Categories: (EMS Only) Enabling this setting allows instructors and administrators to manage the hours categories that are available for individual students when they are signing up for their opportunities. 
Sequencing Enforcement: (EMS Only) This determines if or how sequencing is followed with skill progression within your cohort for your students.  
Note before students can enroll: You must create one active (or future) class.

 

Hours Requirements

In the Hours Requirements tab, you will see hour requirements pre-populated for you, based on the type of Cohort you created. The system automatically distributes your required clinical and field internship hours.

If you see this message: There are no available classes to set requirements at this time. After creating classes, revisit this section to add Class Hour Requirements (optional). Go to the Classes tab and create a class to set requirements for.
All active hours’ requirements, skill requirements, and classes will show in green when you select the tab.

If you choose “All” from the Display Only toggle, you will be able to view all hour requirement categories.

 Audit Skills

The audit skills link (top right under 2nd row of tabs) looks for possible discrepancies between your cohors and classes and lets you know if you need to adjust skills in your cohort settings. The "average for cohorts in this program" line shows you what other schools in your same program are setting skill minimums too.

Lab Skills, Scenario Skills (if appliciable), and Clinical Skills tabs

Skill Source Display Toggle

This area shows toggles or buttons that can turn skills off and on based on the requirements for the cohort. In this example, If you want to display all CoAEMSP skills, turn off all other skills to view. The same for Custom (School created skills), State, and Platinum (Platinum-created skills) skills

Skill Classification Display Toggle
This toggle allows you to view skills based on their classification.  The example shows Capstone Feid Internship, Age Groups, Team Role, Pathologies, and Clinical (2023).  To display the skills in each category, turn on/off skills.

Skill Level Display Toggle

This toggle allows you to view skills based on level.  The example shows Advanced, Pre-Capstone, Formative, and Competency.

Skill Minimums

The Skill Minimums are automatically set in Platinum Planner based on certification requirements for the program and the program type of the cohort. The number is a count of the minimum number of times a student must complete a skill to meet graduation requirements. Also, a student Peer or Instructor must review the documentation for these skill attempts. Completion of these skills will show in the student Progress Report.

Sims Used/Sims Value (Lab Skills Only)

The Sims Value is automatically set based on requirements for the program/program type of the cohort.

Sims Allowed (Clinical Skills)

The value determines the number of simulations that can be counted against the minimum requirement.  If more than this amount of simulations are completed the additional sims will not count toward the overall requirements.  Putting a 0 allows the skill to be documented, but it will not count toward the student's overall progress.  A specific number allows the student to only document that specific number in simulations.  99 allows the student to document the skill as many times as they want.  

Max (Clinical Skills Only)

If this value is set, then the skill will no longer show up as a documentation option once the student has reached that number of successful, graded attempts. 

Click Save to save your entered cohort information.

Class Groups

Class Groups are groups under a "Cohort" that can be used to organize or group students. It is used to make the student enrollment process easier when multiple classes are used in a cohort. After payment, the student would go directly into the group you select for that student.

Note: Class Groups must be set up before students enroll in the Cohort.  They are only used to assist with the enrollment process. 

After the setup of a Cohort and Class(es), click the "Class Groups" tab in the "Edit Cohort" area.

Students

The Students tab shows the school account balance or credit that your school currently has and the ability to add credit. If you need to add credit to your School Account Balance, click the add credit link on the top right on the page in green.

The student tab shows students in (pending) Enrollment Requests, (pending) Assessments Only, and Full Cohort Students that are accepted into the cohort along with their payment status. If a student has not paid, a payment link is provided for a school to pay with credit or to send a request to the student to pay.

Enrollment Requests

Student enrollment requests that you will need to approve or decline so that the student can be added to the cohort in your school. Click approve to add the student or decline (if needed).

A payment window will come up, it is defaulted to the School Pays window. If the student must pay, click and select the Student Pays button.

Assessments Only Students

These students only paid to do assessments and have not paid for the full program. If this student now needs access to the full program, click approve to add the student for the full program, and decline (if needed).

A payment window will come up, it is defaulted to the School Pays window. If the student must pay, click and select the Student Pays button. (The only option that will appear will be for the full program).

Full Cohort Students

This area will show all the Students already ACCEPTED into this cohort and which program they have paid for and the number of classes they are in.

You can also easily Manage Cohort Requests from the PlatinumEd Dashboard.
